Presentation

Articho is an add-in for Microsoft Word for Windows dedicated to print and digital publishing professionals. Articho enhances Microsoft Word with essential functions for accurate, reliable and fast preparation of documents to be published, guaranteeing controlled production and saving time at all stages of publication.

Articho is the only complete solution that provides both the tools for typographic correction and copy editing, and those for technical optimization of documents for layout and digital production. Using Articho upstream of the layout saves time at all stages of publishing process, from the handling of a manuscript to its typesetting and digital production.

Articho tab is composed of four groups: Copy editing, Toolbox, License and Share, Help.

The Copy editing group is composed of the five main functions of Articho, which correspond to the recurring and essential tasks of preparing texts for publication. Thus, Articho ensures reliable, accurate and fast document preparation by automating complex and time-consuming tasks.

Articho’s main commands are complemented by a set of tools that simplify daily correction and copy editing.

The License and share group includes sharing functions (within a network or with external collaborators), customization of typographical rules and licensing options.

Finally, the Help group allows you to access Articho’s online help or send a comment to Articho team.

Main functions

The Copy editing group is composed of the five main functions of Articho, which correspond to the recurring and essential tasks of preparing texts for publication. Thus, Articho ensures reliable, accurate and fast document preparation by automating complex and time-consuming tasks.

Overview: generates a detailed account of the technical aspects of the document and consolidates inappropriate additions upon receipt of the manuscript. The inventory of fixtures can be recorded in order to be communicated to collaborators who will thus have a complete technical summary of the document.

Clean: removes unwanted characters from a document, in text as in table cells and footnotes.

Typography: essential typographic correction for DTP (control of punctuation space rules, non-breaking spaces, composition of numbers and signs going by pairs), or complete typographic correction (location of footnotes marks, case rules, italic composition rules…).

Spelling: brings together all the ortho-grammatic correction options of Word in a single window to configure the corrector and “uncheck” the text.

Structure: consolidates and optimizes the Word document to ensure a secure and fast layout: consolidation of inappropriate enhancements, automated application of character styles, composition of tables based on the layout template, deletion of parasitic information (comments, unused styles, revisions…), etc.

Tools

Articho toolbox enhances Word with functions that simplify daily correction and copy editing.

Express configuration: brings together all Word configuration options in a single window in order to work under optimal conditions (disabling automatic numbering, pasting options, etc.). The selected options are saved so that they can be reapplied in one click each time Microsoft Word is launched.

Wildcards find-replace: find-replace function that allows the use of wildcards (any number, any letter, any character) in replacement strings, and thus allows generic corrections to be made throughout the document.

Find-Paste: replaces the text searched for by the content of the clipboard (which can contain tables, notes, images…).

Correct index: Allow to correct the index in WYSIWYG mode! Unlike the index generated by Word, Articho index is linked to the document’s index marks. When you make a correction, the corresponding index marks are simultaneously corrected (if several index marks are affected by a correction, they are all corrected simultaneously).

Compose tables: automated composition of all tables in the document on the width of your choice. The composition of the tables before the layout has a double advantage: you ensure optimal reading comfort of the Word document and you free the typesetter from this time-consuming task.

Generate a report: generates a report that lists the technical specifications of the document (images, tables, footnotes, comments, index marks, etc.) and provides a list of paragraph styles and character styles used.

Auto numbering > text: converts automatic numbering from Word to solid text followed by a tab. converts automatic Word numbering into solid text followed by tabulation. This ensures that you do not get incorrect numbers when editing the document or importing it into a composition software.

Consolidate enrichments: converts inappropriate enrichments into formats that are adapted and recognized by layout softwares.

Delete parasitic information: Deletes parasitic information to simplify the interpretation of the document during typesetting, to avoid potential errors when importing the document into a composition software, or simply to delete information you do not want to communicate.


License and share

The License and share group includes sharing functions, personalization of typographical rules and license options.


Share: to select a data file on the network in order to share the same Articho customizations with collaborators. The local customization file can also be exported/imported to be shared with an external collaborator.

Personalize: modify, delete, add typographical controls. Controls can also be retained but enabled or disabled by default.

License: to consult your subscription, purchase a license or activate Articho.


60-days trial version

Articho installation program installs the trial version. It is free and fully functional during the 60-day trial period. Beyond that, you are invited to acquire a license to continue to use Articho fully (some functions remain active after the trial period).

To install Articho, go to: download page and download and run the setup program (articho_setup_en.exe).

DIGICERT CERTIFICATION
The installation program and Articho code are digitally signed by a Digicert authentication certificate, the official certification body.

Once the installation is completed, restart Microsoft Word. Articho tab now appears on the Word ribbon, on the right of the View tab. You can start using Articho.

Licence
The licence of Articho consists of a degressive subscription according to the duration chosen: 3 months, 6 months or one year.

The acquisition of a license is done in 2 steps:

1. Purchase of the license. Launch Microsoft Word and choose the Acquire a license command from the ARTICHO tab.

Follow the instructions to purchase your subscription, by credit card or Paypal account. You will receive your activation key by email.

2. Activate Articho. Choose the Activate the license command from the ARTICHO tab.

Enter the activation key in the appropriate field and validate.

Articho is now activated.

You can consult your subscription at any time, via the About Articho command.

Updates
You will find on this page the updates of Articho. To find out if you are using the latest version of Articho, compare your version number (via the About Articho command) with the latest version number found on the page Updates.

If in doubt, feel free to download and run the updt_articho_en.exe update program. The updates concern the heart of Articho, and do not modify your customizations.

Presentation

The Overview command generates a detailed technical report of the document and makes it possible to consolidate inappropriate additions. Very useful upon receipt of a document, the Overview makes it possible to evaluate its contents, to estimate the work of copy editing and to identify the important technical points. The Overview also generates a list of paragraph styles and character styles used. The report can be recorded in order to be communicated at the same time as the document to a collaborator.

Functions

Document analysis
This section contains important technical information about the document:
– General information (author, creation date, last record…)
– Statistics (number of pages, signs and words)
– Presence of revisions, comments or highlights
– Presence of fields (index marks, cross-references, links, others)
– Specific contents (number of tables, footnotes or end notes, presence of images…)

Consolidation
Consolidation functions secure document formatting.
– Automatic numbering conversion to solid text followed by tabulation
– Conversion of high offset options to exponent, and low offset options to index
– Converting “Capital” Enrichments to True Caps
– Removal of hypertext links (these can lead to problems of text interpretation when importing the Word document into the composition software).

Report
The generation of a report produces a document that identifies the technical informations to be considered for preparation and publication. This inventory simplifies the work of typesetters by providing them with a clear vision of the document to be composed.
– Technical specifications resulting from the analysis of the document
– Paragraph styles used
– Styles of characters used
The Save report option will save the report in text format in the same folder as the analyzed document, under the same name completed with “-Overview.txt”.

Presentation

The Clean function automates an important and time-consuming copy editing step: the removal of all unwanted characters in a document, including in tables and footnotes. The cleaning of a document will prove particularly useful for typesetters before the layout. They will thus import a “healthy” document into the DTP software, and the composition will not be hindered by parasitic characters.

Typesetters who use Articho to optimize the Word document before layout will advantageously complete this command by the “Structure” and “Typographic consolidation for DTP” functions.

Functions

The Clean function is flexible, and table processing is distinguished from current text processing. Note the option “Clean footnotes”, in green at the bottom of the window.

– Removal of unwanted spaces (at the beginning or end of the paragraph, before or after tabs)
– Deleting multiple spaces
– Cleaning tables (undesirable spaces and returns in cells)
– Converting multiple tabs to single tabs
– Deleting jumps (section, column, page)
– Converting line breaks to paragraph breaks
– Deleting multiple paragraph skips

Presentation
Articho’s typographical correction function is powerful, simple and very flexible.

By default, Articho typographical correction integrates the controls of the essential rules of the Chicago Manual of Style, classified by categories:
– punctuations and spaces,
– non-breaking spaces,
– composition of ordinal numbers,
– composition of cardinal numbers,
– case rules,
– composition in italics or roman,
– location of footnotes marks,
– miscellaneous typographical rules,
– checking pairs (e.g. “ and ”).

The strength of Articho’s typographical correction lies in its transparency, and the ease with which typographical controls can be adapted to your editorial guidelines and the specificities of the content you publish.

You can consult the typographical checklists for each category and simply adapt them to your style guides by modifying, deleting or disabling them. You simply add new typographical controls to complete Articho.

Thus, if you publish books about space, you will supplement the case rules with specific lower-case/uper-case phrases on this topic (for example, “Solar System” and not “solar system”).

The sharing of Articho personalizations within a team or with external collaborators ensures a reliable and homogeneous preparation of publications.

Consolidation for DTP or Full Typographic Preparation

Articho offers two typographical correction options, one adapted to the needs of editors and proofreaders, the other, more limited, for layout designers who wish to optimize the Word document before composition in order to automate the layout and limit corrections.

Full typographic correction. Advanced typographic preparation, more specifically for editors, proofreaders, copy writers :
– control of space rules before and after punctuation and symbols
– deleting multiple spaces,
– placing non-breaking spaces,
– control of cardinal numbers composition (thousands separator),
– control of ordinal numbers composition,
– case control (upper and lower case),
– composition in italics or roman,
– conformity of the location of footnotes marks,
– various typographical controls,
– control of signs going in pairs.

Consolidation for DTP. Control of essential composition rules and optimization of documents for layout :
– control of space rules before and after punctuation and symbols
– deleting multiple spaces
– control of ordinal number composition
– placing non-breaking spaces

NOTE
Activate or deactivate the options of your choice on the Typography window. You can also edit the checks made in each category via the Details links.
Typographic control categories
Typographical controls are classified into six main categories:
– punctuation space rules,
– non-breaking spaces,
– case rules,
– composition in italics or roman,
– miscellaneous controls,
– control of signs going by pairs.

Each category corresponds to a list of typographical controls that can be consulted and modified (modification, deletion and addition of controls). Use the Details link associated with each category to display a list of associated controls.

The checked checks will be performed at runtime.

You can enable or disable controls in two ways:
– by clicking one of the three links Select All, Deselect All and Default Selection for grouped activation/deactivation,
– by clicking on the controls you want to enable/disable in the list.

DEFAULT ACTIVATION
Typographic controls can be enabled or disabled by default. A control enabled by default is checked when executing the Typography command. Otherwise, the control is unchecked and must be checked by the user to be performed during the execution of the order. To change the default controls enabled, display the list of controls via the Details links in the main window, then check/uncheck the controls as desired. When you close the window, you are prompted to save the changes you have made.
View typographic controls
To view the details of a typographic control, display the desired Control Category (Punctuation Space Rules, Unbreakable Spaces, Case Rules, Italic Typesetting, Miscellaneous Controls, or Checking Pairs of Signs). You can do this from the Details links in the Typography window or via the Personalize command on Articho tab.

Then proceed as follows:
– Click the Plus button to enlarge the window.
– Click the Deselect All link.
– Select the control whose details you want to view.

The typographical rule associated with the control is displayed. Depending on the typeface category, other information is provided.

Then use the Select All or Default Selection links to quickly reactivate the controls.

Personalize typographic controls
Articho is flexible and simply adapts to your style guides and to the specificities of your publications. Built-in typographic controls can be modified, deleted or disabled, and new controls added. Articho is thus constantly enriched by your experience.

– To remove typographical corrections, select the desired correction(s) and click the Remove button.

– To modify
a control, select it in the list, then click on the Modify button. Edit the control data as required in the window that appears, and then click Modify.
– To add a control, click the Add button and complete the fields in the window that appears. The different categories of controls are presented in detail in the help topics below.

NOTE
If several users are running Articho simultaneously, only the user who executed the command first  can edit typographical rules. The edit buttons (Edit, Add, Delete) are not accessible to others. This can happen when you share Articho on an internal network. Access to customizations is released when the command executed by the priority user ends.
NOTE
Instead of deleting a control, you can disable it so that it is not executed by default. Click the desired control to uncheck it. When you close the window, you are prompted to save the changes. Validate. The control will now be unchecked by default. You can then reactivate it for a single run by checking it in the list, or permanently.
Typographical rules
Each typographical control is associated with a typographical rule, illustrated with examples. The assignment of a typographical rule to a control is a valuable decision aid for the user, and a source of continuous learning. To consult the existing typographical rules, use the Customize command on Articho tab.

When you modify or add a typographic control, choose the typographic rule to associate with it. You can also add a new rule by choosing the Add Typographical Rule entry at the bottom of the drop-down list.


Using wildcards in controls

Unlike Word’s search-replace function, Articho’s search-replace function allows wildcards to be used in wildcard strings. You can use the wildcards “any number”, “any letter”, “any character” to create wildcards. Articho then recomposes the replacement string with the characters of the string found.

Use the Special Character button to insert wildcards into search or wildcard strings. The placeholders in the list appear as a two-character code in the search and replacement fields :
– Any character : ^?
– Any number: ^#
– Any letter : ^$
– Paragraph jump : ^p
– Line break : ^l
– Page break : ^m
– Tabulation : ^t
– Non-breaking space : ^s

EXAMPLE
Below, a “joker” correction is made to replace the point used as decimal separator by the comma, on the whole document. The search is done on”[Any digit].[Any digit]” which is replaced by”[Any digit],[Any digit]”.

 

NOTE
When you use wildcards in a replacement string, the case sensitive option is enabled. If you want to perform a check regardless of the case of the search expression, perform a search-replace for each case.
NOTE
The wildcards “any character”, “any digit”, “any letter” must appear in the same number and order in the Find and Replace fields to allow Articho to deduce the replacement string from the string found.
Typographic control process
When you perform a typographic check, Articho displays a window in which the current checks scroll. Whenever Articho identifies a possible typographical error, the user is prompted to choose between the different options:
– correct the occurrence and go to the next occurrence,
– ignore the occurrence and continue the control in progress,
– ignore the current check and proceed to the next typographical check,
– highlight the text in order to identify it,
– correct all occurrences and proceed to the next typographical check.

Use the Plus button to view the typographical rule for the proposed correction.


Punctuations and spaces
Punctuations and spaces Rules gather spaces rules before and after punctuation marks and other symbols (ampersand, parentheses, square brackets, quotation marks, etc).

The modification or addition of a punctuation space rule consists in indicating the way it is preceded and the way it is followed :
– without space,
– by a simple space,
– by a non-breaking space.

To consult the space rule of a punctuation:
– Click the Plus button to display all the informations.
– Click the Deselect All link.
– Click the desired entry in the list of rules.

The space rule for the selected entry is displayed at the bottom of the window.

To modify or add a space rule:
– Select the rule to change if necessary (use the Deselect All button, then click the desired entry).
– Click the Modify button or the Add button.

– Complete the informations in the window that appears:
• The punctuation mark concerned
• The name of the punctuation
• The space rule before punctuation
• The space rule after punctuation
– Click the Edit or Add button.

Non-breaking spaces

Automated placement of non-breaking spaces simplifies layout, avoiding breaks in forbidden lines during composition, without the need for manual intervention. Use wildcards (any number, any letter, any character) to perform global corrections

To consult the space rule of a a non-breaking space correction:
– Click the Plus button to display all the informations.
– Click the Deselect All link.
– Click the desired entry in the list.

The associated typographical rule is displayed at the bottom of the window.

To add or modify a non-breaking space rule, specify :
– the string to search,
– the replacement string,
– case respect or not (if the option is available),
– whether the control is enabled by default or not,
– the associated typographical rule (add a rule if desired).

NOTE
To add a non-breaking space correction, the non-breaking space code (“^s”) must appear in the replacement string. In addition, the option Whole word is not available when adding a correction, since the search string must contain a space, so several words.
Case Rules

Case rules are an exclusive function of Articho that guarantees the correct use of lowercase and uppercase letters. We write *****Cour de cassation (single organism) but cour d’appel (multiple organisms).

A case rule can be:
Relative. Case varies depending on the context (sometimes lowercase, sometimes uppercase). This is, for example, the case of the term *****”academy” (Académie Goncourt, but académie de Nantes).
Absolute. The case is always the same. For example ******Prime Minister.

If a case rule is relative, Articho stops on all occurrences found, whatever the case, in order to propose to the user to make a choice between the two writing possibilities. In the case of an absolute case rule, only expressions with a case distinct from the rule will cause Articho to stop.

To consult a case rule:
– Click the Plus button to display all the information.
– Click the Deselect All link.
– Click the desired entry in the list.

The associated typographical rule is displayed at the bottom of the window.

NOTE
Articho controls case rules from the most complex expressions to the simplest. Thus, if the case of an expression is identified as correct, Articho will not stop later on a term that is part of that expression.
For example, the expression ***“Court of Cassation” is always written with a capital letter (absolute case rule), while ***“court” is written with a capital or lower case letter depending on the case (relative rule). Articho will not stop on the word ***“court” if it is part of the expression ***”Court of Cassation” that is correct.

To add or modify a case rule:
– Select the entry you want to change if necessary.
– Click the Modify or Add button.
– Fill in the fields in the window that appears:
• The expression indicating case
• The whole word option
• The Absolute Rule or Relative Rule option
• Whether the control is enabled by default or not
• The associated typographical rule (add a rule if desired)
– Click the Modify or Add button.


Composition in italics or roman

This function controls the composition in italics or roman of the listed expressions. These can be some latin phrases, titles of books or journals, or any expression you have chosen to compose in italics or in roman.

Articho considers the expressions to be composed in italics or in roman according to the parameters of the style of the paragraph in which this expression is found: if the style of paragraph “Heading 2” is composed in italics, Articho will consider that the expressions to be composed in italics must, on the contrary, be composed in roman in the paragraphs which style is “Heading 2”.

An expression will thus be considered in italics in two cases:
– the expression is in italics within a paragraph with a roman style,
– the expression is in roman within a paragraph whose style is italic.
And conversely for Roman compositions.

To add or modify an expression to be composed in italics or Roman:
– Select the entry to be modified if necessary.
– Click on the Modify or Add button.
– Fill in the fields in the window that appears:
• The expression to be composed in italic/roman
• The whole word option
• The Compose in italics option or the Compose in roman option
• The default or non-default activation of the control
• The associated typographical rule (add a rule if desired)
– Click on the Edit or Add button.

Composition of numbers
Use the comma as a separator of thousands. This function proposes to insert a comma every three characters in numbers containing with more than three digits.

NOTE
During the execution of this function, you can choose to ignore numbers between two values of your choice, to avoid stopping Articho on numbers representing years.
To do this, check the box “Ignore numbers between” and specify both values.
You can also choose that Articho no longer stops on the number it proposes to correct by clicking on the Ignore all button.
Location of footnotes marks
This control verifies that the  footnotes marks are correctely placed:
– No space before
– Before punctuation
– Before closing quotation marks
– Inside parentheses
– Inside the hooks
– Before the suspension points

Use the Details link in the Typography window to display the dialog box above, and customize the rules if desired.


Symbols appearing in pairs
The check of symbols appearing in pairs checks the correct use of the signs that go in pairs (opening sign and closing sign). As with other types of typographic controls, the list can be edited.

By default, Articho controls the following pairs :
– Parenthesis
– Brackets
– Braces
– Speech marks
– Chevrons

When problems are found, orphaned signs (opening sign if the closing sign is missing, and vice versa) are highlighted and the user is warned that problems have been found at the end of the typographic check.

To modify or add pairs :
– Select the entry you want to modify if necessary.
– Click the Modify or Add button.
– In the window that appears, specify:
• The name of the symbol
• The opening sign
• The closing sign
• The default activation or not
– Click the Edit or Add button.

Various controls

Use of emdash or endash, of the symbol points of suspension rather than three points, precede the expression “etc.” with a comma… this category includes many typographical controls that do not fall into any specific category.

To consult a typographical rule:
– Click the Plus button to display all the information.
– Click the Deselect All link.
– Click the desired entry in the list.
The details of the typographic control and the associated rule are displayed at the bottom of the window.

To add or modify a typographical rule:
– Select the entry you want to change if necessary.
– Click the Modify or Add button.
– In the window that appears, specify:
– The channel to search
– The replacement chain
– Case and Whole Word options
– Whether typographic control is enabled by default or not
– The associated typographical rule (add a rule if desired)
– Click the Modifiy or Add button.


Presentation
The Spelling function of Articho brings together in one window the various options of the Microsoft Word orthographic corrector. A software spell check cannot replace human proofreading,  but Word’s spell checker allows text to be “unshelled” before proofreading.

Select the desired options and click on Run to launch the spell checker.

NOTE
If you use a version prior to Word 2013, the option Show errors in the spellcheck panel will have no effect, since the panels only appeared with the 2013 version of Word. The spelling correction will then be displayed in a window.

Presentation

The structuring functions of Articho are unique and constitute a considerable asset for typesetters and ebook producers.

The structuring by Articho of the Word document to compose secures, simplifies and automates the layout :
– deleting stray information,
– converting modifications to character styles,
– style sheet optimization,
– consolidation of enrichments,
– automated layout of tables.


Consolidation of enrichments

The conversion of inadequate enrichments such as uppercase attributes and up/down offsets into appropriate formats (true uppercase and superscript/subscript) ensures that these enrichments are not lost when importing the Word document into a layout software.


Style sheets optimization

After deleting unused paragraph styles and character styles, only the styles to be composed are imported into the layout software. This simplifies the interpretation and composition of the document.

The figure below shows InDesign’s paragraph styles and character styles panels. On the left, the Word document was imported directly into InDesign. On the right, unused styles were removed from the document by Articho before import. All styles that appear in the right panels are actually used in the document and must therefore be configured in InDesign. In the left panels, all styles, even unused ones, have been imported, which makes the interpretation of the document much more complex.


Deleting parasitic information

The removal of parasitic information simplifies and secures the layout. Removing revisions and comments from the Word document will avoid finding them in the composed text. Similarly, to prevent field codes from being imported into InDesign, remove hyperlinks and other unnecessary informations.

Conversion of enrichments into character styles

This is an exclusive function of Articho, and one of the most important for typesetters. The application of a character style sheet by Articho not only ensures simplicity and time saving during the layout, but it is also essential to efficiently generate digital formats (ebook, XML…).

The application of a character style sheet is a complex operation, time-consuming and a source of errors and loss of information due to the very many possible combinations of enrichments that must be sought: Articho style up to three simultaneous enrichments (for example, bold + italic + small caps), and thus seeks 250 combinations of enrichments. Articho also differentiates between “relevant” enrichments and those to be ignored (for example, characters in bold in a paragraph coded in the style of “Heading 2” if the definition of this style includes the bold attribute); such an operation is impossible manually, or at the cost of a lot of time and a high risk of errors (and therefore of information loss during print and digital production).

The conversion of enrichments in character styles by Articho is automatic, fast and 100% reliable, and it considerably simplifies the work of typesetters by allowing them to remove all unwanted formats from a text with a single click, as soon as the Word document is imported into InDesign (see figure below).

The options are described below.

Conversion of enrichments into character styles. Applies the character style sheet to enrichments. Stylish enhancements are: bold, italic, exponent, clue, small caps, underlined, double-underlined, crossed out. Use the “View / edit character style sheet” link to edit style names (see next help topic). If an enrichment is part of the style definition of the paragraph in which it is found, it is ignored (for example italics in a paragraph style “Quote”). Only voluntarily applied enrichments are considered.
Removal of parasitic enrichments. After storing enrichments, and before applying character styles, the text is “distorted”: all enrichments are removed and only the formatting related to paragraph styles remains. The character styles are then applied. The result is a healthy, perfectly structured document with all relevant enhancements styled and undesirable enhancements removed (such as font or forced font size).
Removal of pre-existing character styles. Check this option if your document does not contain any enhancements other than those styled by Articho : bold, italic, exponent, index, small caps, underlined, double-underlined, strikethrough. You thus remove all the parasitic character styles, automatically generated by Word or resulting from a “copy-paste” from another source, to preserve only the styles of the character style sheet.
Style multiple modifications. This style option allows up to three simultaneous enhancements. The corresponding character styles are created by concatenating the style names: if bold and italic enrichments are styled in “bold” and “italic”, bold + italic enrichments will be styled in “bolditalic” (“carbolditalic” if the style sheet uses the prefix “car” for style names). Similarly, if text is enriched in bold + italics + exponent, the “bolditalicsuperscript” (or “carbolditalicsuperscript”) style will be created and applied (assuming that “superscript” is the style name for exponent enrichments).

Edit characters style sheet

Saving the character style sheet allows you to always apply the same character styles and thus standardize your processes, including mapping for ebook production.

Use the “View/Edit style sheet” link in the Structure window to display the character style sheet: each enhancement is assigned a style name. Change the style names as desired. In the window that appears, enter the name of each style in the text box opposite the enrichment. Use the “Add a prefix to style names” text box to precede selected names with the same prefix for all character styles. The full name of the style appears next to each text box.

If you modify style names, you are prompted to save the new style sheet when closing the window. The same style sheet will be used the next time the command is executed.

Note that only applied styles are created in the document.

Automatic composition of tables

The Automatic composition of tables allows you to compose and adjust the tables of the document on the width of your choice.

This function is an invaluable time saver for the layout of books incorporating numerous tables. The tables are thus adjusted on the justification of the layout template and the widths of the columns are balanced according to their content, before the import of the Word document into InDesign or any other layout software (see capture below). The model maker is thus freed from this delicate and time-consuming task.

This function is also useful to ensure that the proofreader or any other person involved before the layout is as comfortable as possible to read the Word document.


Présentation
Les outils de l’Articho comblent les manques de Word pour la correction et la préparation de copie. Leur utilisation simplifie le travail des correcteurs et préparateurs de copie au quotidien.

Configuration express : rassemble en une même fenêtre toutes les options de configuration de Word adaptées à un travail de préparation de copie.

Chercher-remplacer joker : fonction de chercher-remplacer qui autorise l’utilisation des caractères joker (tout caractère, toute lettre, tout chiffre) dans les chaînes de remplacement, et permet ainsi d’effectuer des corrections génériques sur l’ensemble d’un document.

Chercher-coller : fonction de chercher-remplacer qui remplace le texte trouvé par le contenu du presse-papiers.

Corriger l’index : affiche l’index en mode WYSIWYG (tel qu’il apparaît une fois généré) à fin de correction. Les corrections effectuées sont appliquées aux entrées d’index.

Composer les tableaux : Permet de composer automatiquement les tableaux sur la largeur de votre choix (celle du votre gabarit de mise en pages ou toute autre valeur).

Générer un compte rendu : génère un état des lieux des aspects techniques du document

Numérotation auto. > texte : convertit les numérotations automatiques de Word en texte « solide » (texte saisi au clavier et non généré par Word) suivi d’une tabulation.

Consolider les enrichissements : convertit les enrichissements inadéquats dans des formats adaptés.

Supprimer les infos parasites : supprime les informations parasites aifn de simplifier l’interprétation du document pour le compositeur et d’éviter des problèmes lors de l’import du document Word dans le logiciel de mise en pages.

Configuration express

La Configuration express regroupe dans une même fenêtre les options de configuration Word indispensables à un comportement du traitement de texte adapté à la préparation de copie.

Les options sont configurées par défaut afin de désactiver les corrections, les mises en forme et les numérotations automatiques. Modifiez ces options si vous le souhaitez. Vous êtes alors invité à enregistrer les modifications lors de la fermeture de la fenêtre, de façon à pouvoir appliquer vos préférences en un clic, à chaque exécution de Word.

Chercher-remplacer joker

Indispensable pour la correction des documents longs, le chercher-remplacer joker étend les possibilités du chercher-remplacer de Word en autorisant l’utilisation des caractères génériques dans les textes de remplacement.

La possibilité d’effectuer des corrections génériques sur l’ensemble du document garantit un gain de temps considérable.

Utilisez le bouton Caractère spécial pour insérer des caractères joker dans les chaîne de recherche ou de remplacement. Les caractères génériques de la liste apparaissent sous la forme d’un code de deux caractères dans les zones de recherche et de remplacement :
• Tout caractère : ^?
• Tout chiffre : ^#
• Toute lettre : ^$
• Saut de paragraphe : ^p
• Saut de ligne : ^l
• Saut de page : ^m
• Tabulation : ^t
• Espace insécable : ^s

Le chercher-remplacer joker de l’Articho permet aussi de limiter la correction au texte ou aux tableaux si souhaité.

NOTE
Lorsque vous utilisez des caractères joker dans une chaîne de remplacement, l’option Respecter la casse est obligatoirement activée. Si vous souhaitez effectuer un contrôle quelle que soit la casse de l’expression recherchée, effectuez un chercher-remplacer pour chacun des cas.
NOTE
Les caractères joker “tout caractère”, “tout chiffre”, “toute lettre” doivent apparaître en même nombre et dans le même ordre dans les champs Chercher et Remplacer afin de permettre à l’Articho de déduire la chaîne de remplacement à partir de la chaîne trouvée.

Exemples d’utilisation du chercher-remplacer joker :
• Remplacement des points par des traits d’union dans les références de figures : chercher : « Figure ^#. », remplacer par « Figure ^#- »
• Remplacement des points par des virgules dans les nombres : Chercher : « ^#.^# », remplacer par « Figure ^#,^# »
• Formatage des références aux articles de lois sous la forme « [lettre]. [chiffre] » plutôt que « [lettre] [chiffre] » : chercher « ^$ ^# », remplacer par « ^$. ^# »

Chercher-coller

Le chercher-coller remplace le texte recherché par le contenu du presse-papiers.


Corriger l’index

Contrairement à l’index généré par Word, l’index de l’Articho est « lié » aux entrées d’index du document.

Lorsque vous corrigez l’index de l’Articho, les marques d’index associées dans le document sont corrigées. Si une correction affecte plusieurs entrées d’index, elles sont toutes corrigées simultanément (voir figure ci-dessous).

Exemple : Supposons que vous remplacez « Animal » par « Animaux » dans l’index ci-dessous, les cinq entrées d’index correspondantes (Animal:Canard, Animal:Chat, Animal:Chien, Animal:Porc, Animal:Vache) sont simultanément corrigées :

Animal
• Canard
• Chat
• Chien
• Porc
• Vache

Présentation de la fenêtre Index

La fenêtre Index offre les options suivantes :
– Surligner : surligne l’entrée d’index dans le document.
– Atteindre : Affiche l’entrée d’index associée à la sélection de la fenêtre Index de l’Articho. Utilisez les flèches haut et bas de la fenêtre « Retourner à l’index » qui s’affiche pour vous déplacer dans le document. Cliquez sur le bouton Retourner à l’index pour afficher à nouveau la fenêtre principale de l’index. Notez que cette fonction n’est pas accessible si le texte sélectionné ne correspond pas à une entrée d’index (c’est le cas lorsqu’il s’agit d’un premier niveau commun à plusieurs entrées. Dans l’exemple ci-dessus, « Animal »).
– Editer : affiche le texte d’une entrée d’index de deuxième ou troisième niveau dans une fenêtre afin d’édition (par exemple, pour être passé sur un seul niveau).
– Cherch. – Rempl. : permet d’effectuer des corrections de casse (majuscule ou minuscule) ou des corrections de texte sur les entrées d’index. Sélectionnez l’option voulue dans la zone déroulante du haut de la fenêtre.
– Trier l’index : regénère l’index. Cette option s’avérera utile si vous effectuez des corrections qui entraînent un classement alphabétique erroné.
– Fermer : pour… fermer la fenêtre Index !

Déplacement dans l’index

Utilisez les touches fléchées du clavier pour vous déplacer dans l’index. A chaque déplacement dans la fenêtre principale, le texte sélectionné est repris et activé dans la zone de texte supérieure de la fenêtre. Vous pouvez ainsi effectuer une correction sans avoir recours à la souris, puis continuer à vous déplacer dans l’index à l’aide des touches fléchées du clavier.

Corrections de casse

Les corrections de casse permettent d’appliquer des règles de majuscules / minuscules aux entrées d’index. Sélectionnez l’option voulue (Majuscules en minuscules ou Minuscules en majuscules, puis les niveaux d’entrée auxquels doit être appliquée la règle). Pour chaque erreur de casse identifiée, vous êtes invité à effecteur la modification ou à ignorer la suggestion. Vous pouvez également corriger toutes les entrées d’index.

Corrections de chercher-remplacer

Les corrections de chercher-remplacer permettent d’effectuer des corrections de texte sur les entrées d’index. Pour chaque correction, vous êtes invité à effecteur la modification ou à ignorer la suggestion.

Composer les tableaux
La composition des tableaux assure un confort de lecture optimal du document Word lors de la correction, et libère le metteur le metteur en pages de cette tâche fastidieuse et particulièrement consommatrice de temps.

 

Vous choisissez la largeur voulue fonction de votre gabarit de mise en pages, et l’Articho compose tous les tableaux du document sur cette largeur, en équilibrant les largeurs de colonnes fonction de leur contenu.


Générer un compte rendu

Le Compte rendu effectue une analyse technique détaillée du document.

Outre les informations techniques telles que la présence de notes, de tableaux, de champs, marques d’index…, vous pouvez également extraire la liste des styles de paragraphes et des styles de caractères utilisés. Cochez la case Enregistrer le compte rendu pour enregistrer le récapitulatif technique dans le même dossier que le document analysé. Vous pouvez ainsi communiquer ce fichier au metteur en pages ou à tout autre collaborateur auquel vous confiez le document.

Numérotation auto. > texte

La conversion des numérotations en texte convertit les numérotations automatiques de Word en texte solide suivi d’une tabulation. Vous évitez ainsi les erreurs de numérotation lié à une mauvaise interprétation du logiciel de mise en pages lors de l’import du document Word.

Consolider les enrichissements

La consolidation des enrichissements convertit les enrichissements inappropriés dans des formats pertinents afin de ne pas perdre ces informations lors de l’import dans le logiciel de mise en pages.

Les options de consolidations proposées sont les suivantes :
– option majuscules en vraies majuscules,
– décalage haut du texte en exposant,
– décalage bas du texte en indice,
– suppression des liens hypertextes,
– conversion des numéroations automatiques en texte solide suivi d’une tabulation.

Supprimer les informations parasites
La suppression des informations parasites évite d’évenuels problèmes lors de l’import du document dans le logiciel de mise en pages, et en simplifie l’interprétation par le metteur en pages.


Partager l’Articho

L’utilisation en réseau de l’Articho permet une préparation homogène des documents au sein d’une équipe, garante de la cohérence de vos publications et du bon déroulé de vos process de production.

Partage des données. Vous utilisez une même base de données (règles et contrôles typographiques, styles de caractères…) en réseau. Lorsque vous intervenez sur les données partagées les modifications effectuées sont effectives pour tous les utilisateurs. L’Articho évolue en permanence et pour tous les collaborateurs. La préparation des ouvrages au sein de vos équipes est homogène.
Export et import des données. Pour partager les personnalisations de l’Articho avec des collaborateurs extérieurs, il suffit d’exporter le fichier de données personnalisées et de le leur envoyer. Ils n’ont ensuite qu’à l’importer au sein de l’Articho.
Utiliser différentes personnalisations. Si vous souhaitez utiliser différentes règles typographiques par thématique ou selon les clients pour lesquels vous travaillez, créez un dossier pour chaque domaine/client (Pratique, Droit, Sciences par exemple) et exportez le fichier de personnalisations dans chaque dossier. Il suffit ensuite de sélectionner le dossier que vous souhaitez utiliser.

Personnaliser l’Articho

La personnalisation de l’Articho permet d’en modifier les corrections typographiques pour chaque catégorie de règles, sans passer par la fenêtre Typographie.

Licence
La licence de l’Articho consiste en un abonnement dégressif fonction de la durée choisie : 3 mois, 6 mois ou un an.

L’acquisition d’une licence s’effectue en deux étapes :

1. Achat de la licence. Lancez Microsoft Word et choisissez la commande Acquérir une licence de l’onglet ARTICHO. Vous êtes redirigé vers la page Licence où vous pouvez consulter les conditions de vente. Suivez les instructions pour procéder à l’achat de votre abonnement, par carte bleue ou par compte Paypal. Vous recevrez par mail votre clé d’activation.

2. Activer l’Articho. Choisissez la commande Activer la licence du menu ARTICHO.
Dans la fenêtre qui s’affiche, entrez la clé d’activation, puis validez.

L’Articho est maintenant activé.
